Privacy Policy
Last updated: 10 October 2026
This policy explains what personal information Host Our Sites collects, why we collect it, and the choices and rights you have. It applies to hostoursites.com and to our client area and store at clients.hostoursites.com. It is written to meet the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, for our Canadian customers, the Personal Information Protection and Electronic Documents Act (PIPEDA).
Who we are
Host Our Sites is operated by Solutions 4U, 34 Southgate, Scarborough, North Yorkshire, YO12 4NB, United Kingdom. Solutions 4U is the controller of the personal information described in this policy.
For anything to do with your privacy, including requests to see or delete your information, email hello@hostoursites.com. Under PIPEDA, this is also the contact for the person accountable for our privacy practices.
What we collect and why
When you browse our website
- Analytics. We use Matomo (wsmetrics.com) to understand how people use the site, such as which pages are visited, what is searched for and which plans are added to the basket. Matomo is configured not to set cookies, and we use it only to improve our site and services.
- Your country, to show the right currency. When you visit, we look up the country your IP address belongs to using a database stored on our own server. We use the result only to choose a currency to display. Your IP address is not sent to a third party for this, and we do not store it for this purpose.
- Your currency choice. If you pick a currency, we remember it in a cookie called
hos_curand in your browser’s local storage, so you see the same currency next time. It contains only the currency code and lasts for one year. - Domain searches. When you search for a domain, we send the name you typed to our client system to check whether it is available. To prevent abuse, we keep a temporary count of searches against your IP address for 10 minutes.
When you become a customer
When you place an order or open an account at clients.hostoursites.com, we collect the information needed to provide and bill for your services:
- Your name, company name (if any), postal address, email address and phone number.
- Order, invoice and payment records. Payments are handled by our payment providers, who process your payment details under their own privacy policies.
- Support tickets and other messages you send us.
- Login and security information for your account, such as the IP address used to sign in.
Domain registrations
When you register or transfer a domain, the domain registries and registrars that run each domain ending require the registrant’s contact details. We pass those details on to them so we can register the domain for you. Some registries publish limited registrant information in public WHOIS or RDAP records, depending on their rules and the privacy options available for that ending.
Websites and data you host with us
You control the websites, email and files you store on our servers, including any personal information about your own visitors or customers. For that information, you are the controller and we act as your processor: we store and process it only to provide the hosting service, and we do not use it for anything else.
Our legal basis (UK GDPR)
- Contract: to set up, provide, bill for and support the services you order.
- Legal obligation: to keep accounting and tax records, and to respond to lawful requests.
- Legitimate interests: to run privacy-friendly analytics, show prices in the right currency, prevent fraud and abuse, and keep our systems secure.
- Consent: for anything optional, such as marketing emails. You can withdraw consent at any time.
Under PIPEDA, we collect, use and disclose personal information only for the purposes described here, with your knowledge and consent. Your consent may be implied when you use our services for those purposes.
Who we share it with
We do not sell your personal information. We share it only where needed to run our services:
- Data centre and infrastructure providers that host our servers and systems.
- Domain registries and registrars, for domain registrations.
- Payment providers, to take payments.
- Professional advisers, such as accountants, where necessary.
- Law enforcement or regulators, where the law requires it.
International transfers
We run servers in the United Kingdom, the Netherlands, the United States and Canada, and some of our providers operate in other countries. Where personal information is transferred outside the UK, we use appropriate safeguards, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum. Information processed outside Canada may be accessible to the courts and authorities of the country where it is held.
How long we keep it
- Customer account, order and invoice records: for as long as you are a customer, then for six years for tax and accounting purposes.
- Support tickets: for as long as your account is open, and for up to two years after that.
- Website analytics: for up to 25 months.
- Domain-search abuse counters: 10 minutes.
Cookies
On hostoursites.com, the only cookie set for visitors is hos_cur, which remembers your chosen currency. Our client area uses essential cookies to keep you signed in and to hold the contents of your basket. We do not use advertising or tracking cookies.
Your rights
Under UK GDPR you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is inaccurate or incomplete;
- delete your information, where we no longer need to keep it;
- restrict or object to how we use it, including for analytics or marketing;
- transfer information you gave us to another provider in a machine-readable format.
Under PIPEDA, you can ask to see the personal information we hold about you and have it corrected, and you can withdraw consent, subject to legal or contractual limits.
To make a request, email hello@hostoursites.com. We may need to confirm your identity first. We aim to reply within one month in the UK and within 30 days in Canada.
If you are unhappy with how we handle your information, please tell us first so we can try to put it right. You can also complain to the UK Information Commissioner’s Office (ico.org.uk) or, in Canada, the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Keeping your information safe
We use encrypted connections (HTTPS), restrict access to customer data to the people who need it, keep our systems up to date, and take regular backups. No system is completely secure, but we work to protect your information and will tell you and the relevant regulator promptly if a breach puts your information at risk.
Children
Our services are for adults and businesses. We do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make significant changes, we will let customers know by email.
